Administrative Assistant to Superintendent/Bookkeeper. This is a 12 month position. Salary and benefit package to be discussed upon interview: SUMMARY: Serves as secretary to the superintendent. Takes accurate and comprehensive minutes of the Board of Education meetings, Bookkeeping. ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned. Superintendent Secretary: ? Public Liaison/Contact for Superintendent ? Obtains, gathers, and organizes pertinent data as needed, and puts it into usable form. ? Maintains a regular filing system and processes incoming correspondence as instructed. ? Schedules and assists in organization of the superintendent's office. ? Prepares agenda and assembles materials for Board of Education meetings. ? Maintains Board materials books for Board of Education members and administrators. ? Maintains Board of Education Policy Manual ? Coordinates new and revised Board Policies through MCE and distributes to appropriate staff. ? Reconciles payroll and accounts payable to the bank statements. ? Auditors Point of Contact ? Cooperates with auditors and provides information to them as requested. ? Employment contracts to all certified staff; letter of intent to all non-certified staff ? New employee paperwork - Everify, insurance enrollment, background checks, bank prenotifications ? Educator certification ? Assembles service dates of employees. Bookkeeper: ? Obtains, gathers, and organizes pertinent data as needed and puts it into usable form. ? Maintains a regular filing system and processes incoming correspondence as instructed. ? Performs all bookkeeping tasks associated with the position. ? Prepares payroll records and documents and maintains all related files. ? Reports monthly to the Board of Education and the district’s Treasurer the amount for which warrants have been drawn for the current month and present a monthly balance sheet. ? Prepares all financial reports and works with the district auditor. ? Quarterly reports - 941, Employment Security, Missouri United School Insurance Council (MUSIC) Questionnaire, MO Non Program Food Tracking Tool, School Food Financial (SNP) Annual Report, Civil Rights Data ? Operates office machines as needed. ? Regular and dependable attendance. ? Yearly - CMS Medicare notice, W2s, AFcomply 1095-C, GASB 68, board election - publish notice, accept filings, file paperwork with county and MSBA, Scholarships - collect money and pay out ? DESE Security user manager ?Core Data - work with MOSIS employee - October staff - levy screen, etc ? Prepares and monitors ASBR. ? Assists Superintendent in budget creation and monitoring. SUPERVISORY RESPONSIBILITIES: None. QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High school graduate or equivalent; At least 15 years experience working in school finance. Experience with office machines and computers; reliable; able to handle confidential matters; communicate effectively with students, parents, staff, and social agencies; typing skills; computer literacy; flexible. LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before patrons and staff. MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. OTHER SKILLS and ABILITIES: Demonstrated ability to operate a computer and related software (SISFin Accounting Program). Ability to perform duties with awareness of all district requirements and Board of Education policies. Position will remain open until filled.
